Privacy Policy

This policy explains how DepositBack processes information when you use the Case Check, organize evidence or purchase a case-preparation pack.

Information we process

The free Case Check can be completed without creating an account. Your answers may include rental dates, deposit and return amounts, transaction status, deduction details and other facts about your Dubai car-rental deposit issue. If you continue to the evidence workspace, DepositBack creates a private case record containing the facts you confirm, your case status and the evidence you choose to upload.

Evidence and confirmed facts

Evidence may include rental agreements, invoices, bank screenshots or statements, correspondence and relevant photographs. Uploaded files are kept in private storage outside the public website directory and accessed through your private case session. If a document produces a suggested fact, you must confirm or edit it before it becomes part of your case facts. Document contents are not sent to analytics.

Data minimization

Please provide only information needed to prepare your case. Do not upload a full card number, CVV, PIN, banking password, online-banking credentials or unnecessary passport information. Hide unrelated transactions and sensitive information before uploading bank evidence.

Payments

For a paid preparation service, DepositBack may store order metadata needed to identify and manage the purchase, such as the selected product, amount, currency, payment status and payment-provider session reference. Card numbers, CVV and banking credentials are handled only by the configured payment provider and are not stored in the DepositBack case database.

Pack preparation and review

Pack preparation uses the case facts you confirmed and evidence metadata or evidence-derived facts you explicitly confirmed. Generated PDF drafts are private. Where human quality review applies, the reviewer may receive the private draft, delivery email and fulfillment information needed to check and deliver your purchase. Please see the Terms of Service for the current fulfillment process.

Analytics

DepositBack uses a limited set of product events and pseudonymous identifiers to understand whether core steps are completed. Analytics payloads do not include email addresses, file names, document or pack contents, bank data or free-text evidence.

External providers and links

DepositBack may use configured service providers for payment checkout, optional document extraction, private pack review and delivery. Those providers process only the information needed for their role and have their own privacy practices. Optional external document extraction should be used only when it is enabled for real evidence. Links to official consumer resources take you to separate websites governed by their own policies.

Retention and deletion

Case records and source evidence used during the current validation stage are scheduled for deletion after 30 days of case inactivity. Generated packs have their own 30-day deletion timestamp. These periods concern data retention only; they are not a legal deposit-return threshold.

You can delete your whole case earlier from the evidence workspace. This removes uploaded evidence and generated pack files from active storage before the case record is deleted. If infrastructure providers maintain backups, deletion from those backups may follow a separate provider-controlled schedule.
